What Should Happen in the First 5 Minutes After a Lead Enquires

Most businesses take 45 minutes to respond. Here is what a connected first five minutes should look like.

Marketing rarely fails because there is not enough activity. It fails because the handoffs between attention, response, follow-up, and decision are left to chance.

The 45-minute average

Across the businesses we audit, the average first response to an enquiry is around 45 minutes. Many take hours. Some take days.

Meanwhile, the data on buyer behaviour says the first five minutes are where conversions are won or lost. Intent is at its peak, the buyer is available, and no competitor has responded yet.

Here is what a well-designed first five minutes actually looks like.

Minute zero

The moment the form is submitted, four things happen automatically.

The lead receives an instant confirmation that sets an expectation: "Thanks—Rahul will call you within 15 minutes" beats a generic "We will be in touch." The lead is enriched in the background with company and role data so the responder knows who they are calling. Intent is scored based on what they asked for. And the right person is alerted on their phone—not in an inbox they check twice a day.

All of this takes seconds and requires no human involvement.

Minutes one to five

Now the human part. The assigned person sends a short, relevant personal response—referencing what the lead actually asked about, not a template. They attempt contact by phone if the value justifies it. They include an easy booking link so the lead can self-serve a time that suits them.

If the conversation begins, the automation steps aside. If it does not, a follow-up sequence starts—but only then, and only with messages matched to the lead's intent.

The goal of the first five minutes is not to close. It is to start a conversation while the buyer still cares.

What this requires

None of this is exotic technology. It is a form connected to a CRM, an alert that reaches a human instantly, a clear owner for every lead, and two or three pre-written responses that a person personalises in thirty seconds.

The businesses that respond in five minutes are not working harder than the ones that respond in 45. They have simply decided, in advance, what happens—and built it once.
